Data Protection At St Hilary School

 

You are most probably aware that from May 25th, the rules around data protection are changing. The 'General Data Protection Regulation' (GDPR) will change how we can use your personal data and keep it safe, and will also strengthen your rights over your own data.

The point of this is to make sure sensitive or private information about yourselves and your children stays safe. Whilst it is similar to the current Data Protection Act in many ways, there are a few differences, so we need to make a few changes at the school in order to ensure we remain compliant.

One of these changes is that we have updated our Fair Processing Notice (was Privacy notice). You can download a copy of this document from below.

 

Photograph and Images Consent

At the beginning of this year, we completed photograph consent forms for all children at the school. However, parents have the right to give or withdraw consent at any time. If you do wish to change consent, this can be done by contacting the school office where you will be given a new form to complete. 

 

School Newsletter

As you will know, we currently email out our weekly newsletter. In our newsletters we like to include advertising or notices for activities available to children outside of school. This may include holiday activities, external sport clubs, community family events etc. The school does not receive any funds from the ‘advertiser’ but we feel that it is a positive thing to make families aware of activities that they, or their children, may like to take part in. The school uses its discretion about which advertising will be included but endeavors to avoid businesses or advertising where the advert is for personal profitable gain. Whilst the content of the newsletter will be no different to current practice, with the introduction of the GDPR, this could be considered ‘marketing’ so we are asking for parents to opt in or out of receiving the weekly newsletter. The newsletter will be available on the school website each week as it is currently.

 

Data Collection (ACTION NEEDED)

On 24th April, all parents should have received an email from ‘noreply@SIMs’. Up until now, we have sent home paper data collection sheets at the beginning of each year. This is to ensure that all the contact information and statutory information that we are asked to collect is accurate. This could be considered a data protection risk as the data sheets could go astray between school and home. Therefore, we will no longer be sending home data protection sheets but have set up our SIMS system so that parents can log in and change any of this data themselves. Please could all parents follow the links/ instructions in the email- this will allow you to set up your secure SIMS account and keep us informed of any changes as and when needed (changes of phone numbers are the most common). If you do not wish to set this up, or are having difficulties logging in then please let us know and we can either support or update any information directly onto our system.
